Eligibility

Do I have to use the Health & Wellness Center?

  • No, you are not required to use the Waukesha Employee Health & Wellness Center. The Health & Wellness Center is provided as a resource for you to use, if you choose. Many beneficial services are offered that we hope employees and their families will enjoy and find valuable. Benefits of using the Health & Wellness Center include cost savings, reduced waiting time, and access to high quality service.

Who is eligible to use the Health & Wellness Center?

  • All City of Waukesha and Waukesha County employees are eligible for worker’s compensation services provided in the clinic.

  • The minimum age is 2+ for standard clinic services and 12+ for physical therapy services.

Is there a fee to use the WEH&WC?

  • Visits at the WEH&WC will have the following cost for eligible members:

        • Preventive Care or Lab Work: Free

        • Non-Preventive Care or Lab Work: Varies by Entity/Plan

        • Dispensed or Home Delivery Medication: No Additional Cost

        • Physical Therapy: Varies by Entity/Plan

        • Health Coaching: Free

If I am on the County’s HSA Health Plan, why am I required to pay a fee for non-preventive visits?

  • Employees and their dependents on the group medical insurance plan that qualifies for participating in a Health Savings Account (HSA Health Plan, a Qualified High Deductible Health Plan), do have to pay a small per visit fee for non-preventive services, which includes physical therapy services.

  • The IRS requires a fee be charged to those with a Health Savings Account (HSA). In order to contribute to a HSA, the employee must be covered by a Qualified High Deductible Health Plan (QHDHP). Many employees setup their HSA through their employer (the County). However, some have an HSA through a spouse’s family plan or may have previously setup a HSA on their own or do so at a future date. This makes it very difficult to identify all employees on the QHDHP that may have a HSA. So, in order to meet due diligence under the law, we require all QHDHP members using the WEH&WC to pay a per visit fee for non-preventive services. This fee is still considerably less than you would pay for similar services at a physician office, urgent care center, or retail clinic (such as Minute Clinic). Keep in mind that preventive care is covered 100% by the plan and will not have a fee.

  • We also want you to be prepared that the fee will be collected at the time of service for each appointment. For safety reasons, the WEH&WC does not accept cash. Please bring with you a debit or credit card. If you have a HSA credit card, this is a great time to use it!

How much will dispensed medications cost?

Effective 1/1/2023 medications dispensed in the WEH&WC or delivered through the Home Delivery Program will be available at no additional cost.

What services does the WEH&WC offer?

Does the Health & Wellness Center do well-child visits?

  • Physical examinations can occur for children over the age of 6. While the WEH&WC does not offer well-child visits for children under 6 years old, it does provide services for sick care, flu shots, and strep tests. Well-child visits should be offered through your child’s pediatrician at no cost through your health plan. If you have not selected a pediatrician, the WEH&WC would be happy to refer you to one within your provider network.

Does the Health & Wellness Center handle prenatal care?

  • The Health & Wellness Center does not handle prenatal care; however, the WEH&WC does offer well-women exams. If you are seeking prenatal care, the WEH&WC would be happy to refer you to the appropriate provider within your network. The WEH&WC can also provide you with information on the prenatal support program offered through your health plan.

What do I do if I have been referred to a specialist?

  • If you have been referred to a specialist by a WEH&WC provider, please follow-up with the specialist regarding your care. The WEH&WC would be happy to help you coordinate a visit within the your provider network. The WEH&WC will follow up within 7 days to ensure you have an appointment scheduled and follow up tests are received.

What if I still want to use my Primary Care Physician?

  • If you have an existing Primary Care Physician, we encourage you to keep that relationship if you are satisfied with your provider. We wish for everyone to have a relationship with a Primary Care Provider and the WEH&WC will coordinate care and share results with your current Primary Care Physician, if you would like. You can also use the WEH&WC for lab services and the results can be sent to your physician prior to your visit.

  • If you wish, you are welcome to use the WEH&WC as your Primary Care Provider, or if you would prefer, the WEH&WC can help you establish a Primary Care Provider in the community within network.

Is this the same as a retail clinic like the Minute Clinic or Take Care Clinic?

  • No, the WEH&WC provides many more services than a retail clinic and is available at a lower cost. While retail clinics provide treatment for many of the things you can be seen for at the WEH&WC, such as sore throats and sinus infections, there are many additional services that the WEH&WC can provide. For example, you can be seen at the WEH&WC for lacerations and muscle strains. Typically these services aren’t provided at a retail clinic. Additionally, the WEH&WC can provide preventive exams and lifestyle coaching which aren’t available at retail clinics.

Do I need a referral to receive Physical Therapy at the WEH&WC?

  • No, you do not have to have a referral. You may self-refer.

  • If you do have a referral from an outside provider, here’s what you can expect: You will be asked to fax or drop off your referral to the Health & Wellness Center prior to your appointment, or bring it with you to your first visit. The first visit will be an hour long one-on-one session with the Physical Therapist. Following your initial visit, the Physical Therapist may request additional records to assist in your treatment.

  • If you do not have a referral, you are welcome to either self-refer, or schedule an appointment with a Health & Wellness Center Provider for an evaluation to determine if Physical Therapy is appropriate for you.

Can I get prescriptions at the WEH&WC? What is a dispensary?

  • After completing a thorough assessment, the Physician or Physician Assistant can write a prescription during your visit.

  • The WEH&WC will be able to dispense certain medications at the point of care. Medications must be prescribed by one of the Health & Wellness providers during a visit to the WEH&WC. The WEH&WC cannot fill prescriptions from outside providers like a pharmacy, such as Walgreens, can fill. The WEH&WC formulary consists of the top utilized medications and the medications used most commonly for diagnoses in a primary care office. No narcotics or controlled substances will be stocked in the WEH&WC.

  • If the medication the Physician or Physician Assistant has prescribed you is available in the WEH&WC dispensary, you can conveniently obtain your medication during your visit! If the medication the Physician or Physician Assistant has prescribed you is not available in the clinic, you can still fill your prescription at your preferred pharmacy or through mail order, whichever you prefer.

Electronic Health Records

Can I access my medical record online?

  • Everside Health and Waukesha Employee Health & Wellness Center offer easy, private access to your medical information online, so you can view your personal health record whenever and wherever you have internet access. View your private health information and receive periodic updates and reminders from your onsite health center provider at your personal email address. Privacy

Will my information be shared with my employer?

  • No, just like any other health information, your information for services at the WEH&WC will be kept private and confidential. By law, your information cannot be shared with your employer without your consent, unless you are receiving treatment for occupational health or a work related injury.

If I use the WEH&WC for both work related and non-work related injuries, will my employer have access to my health records?

  • Your employer would only have access to information associated with work related injuries, just as they always have. The records for work related injuries are kept in a separate secure electronic medical record, so that no additional health information can be shared your employer. All other records are stored in a separate secure electronic medical record that only the WEH&WC providers have access to.

WEH&WC Staff

Are the providers at the WEH&WC employees of the City or County?

  • No, the providers are not employees of the City or County. The WEH&WC is managed by Healthstat, Inc., a company that specializes in providing care in this type of setting. All WEH&WC staff are employees or contractors of Healthstat.

Who will I see at the WEH&WC?

  • The WEH&WC is currently staffed with the following staff. Click here for photos and bios.

        • Physician: Board-Certified Family Physicians are the only specialists qualified to treat most ailments and provide comprehensive health care for people of all ages.

        • Physician Assistant: A Physician Assistant is a medical professional who has a degree in a related medical field and is licensed to practice medicine, including diagnosis and treatment, and is able to prescribe and dispense medication under the supervision of a medical doctor.

        • Health Coach: A Health Coach will reach out to patients to help them with issues such as diabetes, high blood pressure, smoking cessation, weight loss and other therapeutic lifestyle changes. They can also develop programs and group events that focus on health and wellness promotion.

        • Physical Therapist: Physical therapists (PTs) are licensed health care professionals who can help patients reduce pain and improve or restore mobility. PTs can teach patients how to prevent or manage their condition so that they will achieve long-term health benefits. PTs examine each individual and develop a plan, using treatment techniques to promote the ability to move, reduce pain, restore function, and prevent disability. In addition, PTs work with individuals to prevent the loss of mobility before it occurs by developing fitness- and wellness-oriented programs for healthier and more active lifestyles.

        • Medical Office Assistant: The Medical Office Assistants will take you back to the exam room, take your vitals, assist the Physicians and Physician Assistants during your appointment, and draw your blood if lab work is required.

        • Receptionist: The Receptionist will be the first point of contact at the WEH&WC. They will answer the phone, assist in scheduling appointments, as well as check you in and out during your visit.

Appointments

Are walk-in appointments available?

  • In order to be respectful of patients who have scheduled appointments, we request that you call ahead to schedule a same day appointment. This helps alleviate additional wait times, and deters any inconvenience to you. If time permits, the WEH&WC staff will do their best to fit you in; however, if a same day appointment is not currently available, the WEH&WC staff will work to get you in as quickly as possible.

  • Worker’s compensation cases do have priority and will be seen as soon as possible.

What will the standard wait time be?

  • The wait time should be minimal. We strongly encourage you to make an appointment by calling the WEH&WC if you are trying to schedule a same day appointment. This will allow for reduced waiting for you and other patients.

When should I arrive for my appointment?

  • Please plan to arrive to your appointment at least 10 minutes early to check-in and if required, update medical records. To maintain short wait times for all patients, we may reschedule your appointment if you are more than 10 minutes late.

  • If you are unable to make your appointment time, please call ahead to cancel, out of courtesy for other patients and the Health & Wellness Center staff.

How do I reschedule or cancel my appointment?

  • If you have an appointment but are unable to attend that appointment, please reschedule or cancel as far in advance as possible (preferably a day prior) via one of the following methods:

        • call the Toll-Free Scheduling Line at (866) 959-9355,

        • call the WEH&WC at (262) 896-8420, or

        • if you scheduled your appointment through the Everside Health patient portal online or in the mobile app, log in, visit the Home Page and click on your Upcoming Appointment. If you would like to reschedule, select 'Reschedule appointment' and you will be prompted to choose a new date and time for your appointment. If you would like to cancel, choose 'Cancel appointment.'
